Privacy Policy

This Privacy Policy describes how Acariya (“we,” “us,” or “our”) collects, uses, and stores information when you use the Acariya mobile application (“the App”). We take privacy seriously, particularly given the personal and psychological nature of the data the App is designed to hold.
What Acariya is
Acariya is a coaching companion app. It holds structured reflection between coaching sessions: personality assessments, stakeholder maps, goal tracking, journaling, and daily contemplative prompts. Most of what you enter stays on our servers solely to sync your data across your devices — it is not used to build profiles, target advertising, or sold to third parties.
Information we collect
Account information
When you sign up, we collect the information needed to authenticate you:
- Phone number — used for SMS one-time password (OTP) verification.
- Email address — used if you sign in via email link or email/password.
- Display name — a name you choose, used to identify you to coaches and teammates.
- User ID — an internally generated identifier assigned to your account.
- Preferred language — your language preference for the app interface.
- Consent status and timestamp — whether you have agreed to these terms, and when.
Content you create
The following data is stored in association with your account:
- Journal entries — the text you write, any numerical ratings you provide (e.g. strategic alignment, cognitive energy, delegation), and the context in which you wrote each entry (e.g. in relation to a goal, stakeholder, or assessment).
- Assessment responses — your item-level answers to personality assessments, stored with a timestamp. Scores derived from these answers are computed and stored separately.
- Goals — titles, descriptions, stage of change, action items, and obstacles you record.
- Stakeholders — names, roles, and organizational categories (e.g. manager, peer, direct report) that you add to your stakeholder roster.
- Stakeholder canvas placements — how you position stakeholders across your canvases.
- Insight history — a log of which daily prompts (tarot cards or constellations) you have been shown and when.
Team and coaching features
If you are part of a coached team:
- Team membership — your membership in a team, your role (coach or member), and when you joined.
- Shared assessment results — aggregated personality scores that you explicitly choose to share with your team. Raw item-level answers are never shared; only computed construct-level scores are disclosed.
- 360° feedback — ratings you give to teammates and ratings teammates give to you. These are stored at the construct level (not at the individual question level) and attributed to the person who submitted them.
- Peer assessment sessions — your in-progress answers when completing a 360° assessment of a teammate.
- Team invitations — when you are invited to a team, the phone number or email address used to invite you is stored as part of the invitation record.
Technical and diagnostic data
- Crash reports — when the app crashes or encounters an error, we automatically collect a crash report. This includes your user ID, diagnostic information about the device state, and a log of recent app events preceding the crash.
- Analytics events — we automatically collect usage events (screen views, feature interactions) to understand how the app is used. This data is associated with your account.
On-device AI features
The app includes an optional on-device language model that runs entirely on your device. When you use this feature:
- No data is sent to any server for AI inference. All processing happens on your device.
- The model file is downloaded from the internet when you choose to enable the feature. The download request itself includes standard network metadata (IP address, device type) handled by the download infrastructure.
- Your assessment results used as input to the on-device model remain on your device and are not transmitted.
How we use your information
We use the information we collect to:
- Authenticate you and maintain your session.
- Store and sync your content (journal entries, assessments, goals, stakeholders) across your devices.
- Enable team and coaching features, including sharing the results you explicitly choose to share.
- Diagnose and fix technical problems using crash and error reports.
- Understand aggregate usage patterns to improve the app.
We do not use your information to serve advertising, build advertising profiles, or sell data to third parties. Acariya contains no ads.
How we share your information
We share your information in the following limited circumstances:
With your coach and team (at your direction). If you are part of a coached team, your display name and any assessment results you explicitly share will be visible to your coach and teammates. You control which instruments you share; you can unshare them at any time.
With service providers. We use third-party infrastructure providers to authenticate users, store data, and process crash and analytics reports. See the Service Providers section below for details. No other third parties receive your personal data.
When required by law. We may disclose information if required by a valid legal process, court order, or to protect the rights or safety of our users or others.
We do not sell, rent, or trade your personal information.
Data retention
Your data is retained for as long as you maintain an account. If you delete your account, your authentication record and associated user data are deleted. Some residual data (e.g. anonymized crash logs already transmitted to our crash reporting provider) may be retained for a limited period in accordance with our service providers’ data retention policies.
Your rights and choices
Access and export. You can view all content you have created within the app.
Deletion. You can delete individual journal entries, goals, and stakeholders from within the app. You can delete your entire account from the Profile screen; this permanently removes your account and associated data.
Language. You can change your preferred language from the Profile screen.
Data security
Data is encrypted in transit and at rest. Access controls restrict reads and writes to your own user ID (or to your team, for shared data).
No system is perfectly secure. We encourage you to use a strong authentication method and to contact us if you believe your account has been compromised.
Service providers
We use the following third-party services to operate the App:
Google Firebase — provides user authentication, cloud data storage (Firestore), crash reporting (Crashlytics), and usage analytics. Firebase operates under Google’s data processing terms. Data processed by Firebase is subject to Google’s privacy policies.
No other third-party services receive your personal data.
Children’s privacy
Acariya is not directed at children under the age of 13 (or under the applicable age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has created an account, please contact us and we will delete it.
Changes to this policy
We may update this policy as the app evolves. We will notify you of material changes by posting a notice in the app or updating the “Last updated” date above. Continued use of the app after a change constitutes acceptance of the updated policy.
